Overview

Live Contract Management Training is a half-day course focusing on understanding and managing contracts effectively. The course covers topics such as contract reading, risks in contracting, end-to-end processes, post-signature management tactics, post-award contract governance, and dealing with changes and contract closure. Participants will learn about relationship management, performance monitoring, governance frameworks, and financial aspects of contracts. The training aims to equip individuals with the necessary skills to navigate contract management successfully.

09:15 – 10:00 – Introduction to Contract Management

  • What is a contract and how do you read them?
    • Active terms
    • Passive terms
    • Conditions precedent
    • Conditions subsequent
  • Common risks encountered in the contracting process, and understanding how terms and conditions drive the behaviours of both the customer and the supplier

10:00 – 10:20 – An overview of the end to end contracting processes

  • Documenting required activities and the process from the identification of need through to contract award, post signature management, change and closing out the contract

10:20 – 10:50 – Management tactics post contract signature

  • Resource (input) contracts versus results (output / outcome) contracts and how these define the appropriate management style and involvement of the customer

10:50 – 11:00 – Break

11:00 – 13:00 – Post award contract management and governance

  • Moving from signature to contract implementation
    • Kick off meetings, summarizing the contract for those with a need to know
    • Developing appropriate relationship management plans
    • Communication activities across the delivery phase of the contract
  • Managing contactor performance
    • Keeping records and maintaining the right evidence and building appropriate reports
    • Using SLAs and KPIs in the right way and how they can be gamed
    • Delivery and acceptance
    • Meetings and instilling the right governance frameworks cross the delivery phase of the contract
    • Finance, budgets and invoicing
  • Dealing with change in the contract
  • Closing out contracts
    • Principles of termination and expiry
    • Exit strategies and minimising acrimony
    • Requirements on customer and an incumbent supplier in the event of follow on services
